Bookings and reminders, connected

AertaOne helps businesses connect the admin around appointments. We look at how bookings arrive, how they are confirmed and what customers need to know before they attend.

  1. Booking request
  2. Confirm details
  3. Update calendar
  4. Send reminder

When a booking creates several separate jobs

A request arrives by email or through a form. Someone checks availability, replies to the customer, enters the appointment in a calendar and remembers to send a reminder. If the time changes, the update needs to reach every part of that process.

When those steps are disconnected, it can be difficult to tell whether a booking is confirmed, whether the calendar is current or whether a reminder still reflects the correct details.

What we can connect

  1. Capture the request. Collect the details needed to handle a booking.
  2. Confirm the next step. Send an agreed acknowledgement or confirmation once the relevant checks are complete.
  3. Update the calendar. Connect confirmed bookings to the calendar or booking tool, where supported.
  4. Send reminders. Use agreed timing and wording, with a clear process for changes, cancellations and replies.

We check what your current tools support before recommending email or SMS reminders. We also agree who handles replies and any messages that cannot be delivered. Any separate messaging charges are discussed as part of the scope.

Who this is for

This is for small and mid-size businesses that organise customer appointments or scheduled services and manage the follow-up through email, spreadsheets or calendars.

Keep the exceptions visible

A booking that needs a decision should reach the right person. We agree which steps can happen automatically and which need confirmation from your team.

Questions about this service

Can we keep our Outlook calendar?

Possibly. We check how your calendar is set up, the permissions available and how bookings are recorded. We confirm the connection before including it in the agreed solution.

Can reminders go by email or text message?

We can assess either option against your tools and requirements. SMS needs a supported messaging service and may carry separate charges. The channel, wording and handling of customer preferences are agreed before implementation.

What happens if an appointment is changed or cancelled?

We agree which record controls the booking and how changes reach the reminder process. Updated or cancelled appointments need to be handled so outdated messages are not sent. The available behaviour depends on the systems involved.

Can a person approve a booking before it is confirmed?

Yes. A review step can be part of the workflow. We agree what should be acknowledged immediately and what should wait for a person to confirm availability or other details.
